Fleet Privacy Policy

Last updated: September 2026

1. Scope

This Privacy Policy covers the AUVIA Fleet portal at fleet.auvia.business — the B2B web portal used by bus operators to manage captains, buses, corridor assignments, and payouts on the AUVIA Business Class network. Passenger-facing privacy is covered by the main AUVIA Privacy Policy.

2. Information We Collect

Company account information:

  • Company name, business address, Registrar-General number
  • Primary contact name, email, and phone number
  • Billing information (processed via Paystack — we do not store card numbers)
  • Subscription plan, payment history, and revenue-share settings
  • Primary bus type (executive shuttle, business coach, highway coach, or mixed fleet)

Fleet operational data visible to Fleet Operators:

  • Names, phone numbers, and profile photos of captains who joined your fleet
  • Captain trip history, corridor runs completed, seat load, on-time rate, and passenger ratings
  • Live location of captains while they are on a scheduled or active corridor run
  • Earnings breakdown per bus, per corridor, per captain
  • Vehicle documents you upload (registration, insurance, roadworthy) for your own buses

3. How We Use Your Information

  • To provide the AUVIA Fleet tools (captain onboarding, live corridor map, seat-load analytics)
  • To process subscription payments and captain payouts via Paystack Mobile Money
  • To generate reports and CSV exports for your accounting team
  • To send billing notices, corridor updates, and platform announcements
  • To investigate safety incidents, Business Class standard concerns, or disputes
  • To improve corridor scheduling and load balancing across the network

4. Captain Data Boundaries

Captains who accept a fleet invitation grant the Fleet Operator access to only the corridor runs completed while a member of the fleet. Captain personal documents (Ghana Card, DVLA licence, biometric data) are held by AUVIA for verification purposes and are not shared with Fleet Operators.

If a captain leaves your fleet, historical corridor-run data remains visible to you for accounting and reporting purposes; future runs are not.

5. Passenger Data

Fleet Operators do not have access to passenger identifiers (phone number, email, home address, workplace). Fleet dashboards show anonymised booking counts, corridor load factors, and captain-facing ratings only. AUVIA is the sole data controller for passenger personal data on the network.

6. Data Security

AUVIA Fleet data is protected by Firebase Authentication, TLS encryption in transit, and Firestore security rules that scope company data to authenticated members of that company only. Access to the portal is role-scoped: fleet owners, operations staff, and accounting staff each see only what their role requires.

7. Data Retention

Company account data is retained while your subscription is active. On cancellation, we retain corridor-run, earnings, and payment records for 3 years for financial compliance and then delete them. You may request earlier deletion by contacting fleet@auvia.business, subject to legal retention requirements.

8. Your Rights

Under Ghana's Data Protection Act, 2012 (Act 843), you may request access to, correction of, or deletion of your company account data. Contact us at support@auvia.business.

9. Changes

We may update this policy as AUVIA Fleet evolves. Material changes will be emailed to your primary contact 14 days before they take effect.
